Terms of Service

1. Acceptance of the Terms

By creating an account or using the MailMateAI website or application (the "Service"), you agree to be bound by these Terms of Service ("Terms") and our separate Privacy Policy. If you do not agree to these Terms, do not use the Service.

2. Description of the Service

MailMateAI is a personal-productivity tool that connects to your Google Gmail account, classifies your incoming emails using AI, suggests replies, manages a smart to-do list and calendar entries, and offers a chat interface to discuss specific emails.

3. Eligibility & Account Security

You must be at least 16 years old and legally capable of entering a contract. You are responsible for safeguarding your credentials and for all activity under your account.

4. Google API Data Access

We request the following Gmail scopes strictly to provide the Service and comply with Google-s Limited-Use policy:

gmail.readonly - read messages so we can classify, embed, and show them in your inbox UI.
gmail.send - send the reply you approve.
gmail.calendar - save event into google calendar.
gmail.compose - save drafts and send emails.

We never share or sell raw message data. All use is subject to Google's API Services User Data Policy.

5. How We Use and Store Your Email Data

First login: we read up to 10 recent emails to train your personal writing-style profile.
Ongoing use: for each new email we store metadata and an embedding vector of the body; the raw body is discarded after embedding.
Context building: when you open a conversation we retrieve the most similar vectors to build a richer prompt.
Retention: vectors are deleted 30 days after you delete the corresponding Gmail message or when you close your account.
Security: all data is encrypted in transit and at rest in an EU-hosted database.

6. Your Content & Licence

You retain all rights to your emails. You grant MailMateAI a non-exclusive, revocable licence to process that content solely to provide the Service.

7. Prohibited Conduct

You agree not to reverse engineer or disrupt the Service, use it to send spam or unlawful content, or allow access to anyone under 16.

8. Subscription Plans & Payment

MailMateAI offers three subscription tiers:

Free - €0 / month
Pro - €6.90 / month or €69 / year
Power - €13.90 / month or €139 / year

Payments are processed via Stripe and are non-refundable except as required by law.

9. Termination

You may delete your account at any time from Settings → Delete my data. We revoke Gmail tokens and purge stored vectors within 2-hours.

10. Disclaimer of Warranties

The Service is provided “AS IS”. We make no warranties of uninterrupted availability, accuracy, or fitness for a particular purpose.

11. Limitation of Liability

To the maximum extent permitted by law, MailMateAI's total liability shall not exceed the amount you paid us in the 12 months preceding the claim.

12. Indemnification

You agree to indemnify and hold MailMateAI harmless from any claim arising out of your violation of these Terms or applicable law.

13. Modifications

We may update these Terms. Material changes will be announced at least 15 days in advance. Continued use after the effective date constitutes acceptance.

14. Governing Law

These Terms are governed by the laws of France. Exclusive jurisdiction lies with the courts of Lyon, France.
